Receptionist Torrentera Tax Service, Inc.
Location:
Watsonville, California Position Summary Torrentera Tax Service, Inc. is seeking a friendly, organized, and dependable Receptionist to join our office. The Receptionist will be the first point of contact for many of our clients and will be responsible for providing professional customer service in person and over the phone, scheduling appointments, receiving and organizing client documents, and assisting our staff with general administrative duties. Because many of our clients primarily communicate in Spanish, bilingual fluency in English and Spanish is required for this position . We are looking for someone who is professional, patient, comfortable working with people, and able to stay organized in a busy tax and accounting office. Primary Responsibilities Greet clients in a friendly and professional manner. Answer and direct incoming phone calls. Communicate with clients in both English and Spanish . Schedule, confirm, and manage client appointments. Take accurate messages and provide them to the appropriate staff member. Receive tax documents, payroll information, notices, and other paperwork from clients. Verify that documents received from clients are properly identified and organized. Scan, copy, print, and file documents as needed. Assist with maintaining organized physical and electronic client files. Contact clients when documents, signatures, or additional information are needed. Assist clients with basic questions regarding appointments, document drop-offs, office procedures, and the status of information they have submitted. Help prepare paperwork and client files for tax preparers, payroll staff, and bookkeeping staff. Perform basic computer data entry and administrative tasks. Receive and distribute mail, notices, and correspondence. Maintain the reception and front-office area in an organized and professional manner. Assist with general office duties as assigned. Maintain strict confidentiality when handling tax returns, Social Security numbers, payroll information, financial records, and other sensitive client information. Qualifications Fluent in both English and Spanish - required. Strong verbal communication and customer-service skills. Professional and friendly attitude. Strong organizational skills and attention to detail. Dependable and punctual. Comfortable answering phones and communicating with clients. Basic computer skills. Ability to scan, print, copy, email, and organize electronic documents. Ability to learn office software and internal procedures. Ability to handle multiple tasks and interruptions while remaining organized. Ability to work professionally with confidential and sensitive information. Willingness to learn about basic tax, payroll, and accounting office procedures. Previous receptionist, administrative assistant, customer service, tax office, accounting office, or similar experience is preferred but not required for the right candidate. Ideal Candidate The ideal candidate is someone who: Enjoys working with people and helping clients. Is comfortable speaking both English and Spanish throughout the workday. Is patient when explaining information to clients. Pays close attention to names, dates, documents, and appointment details. Is comfortable working in a fast-paced environment, particularly during tax season. Can recognize when a question should be referred to a tax preparer, payroll specialist, bookkeeper, or manager rather than attempting to provide an answer themselves. Is willing to learn and take on additional administrative responsibilities over time. Works well as part of a team. Important Expectations The Receptionist is often the first person a client interacts with when contacting Torrentera Tax Service. Professionalism, confidentiality, accuracy, and good customer service are extremely important. The Receptionist is not expected to provide tax or accounting advice but should become familiar enough with our services and office procedures to properly direct clients to the appropriate staff member. During tax season and other busy periods, the office may experience a high volume of phone calls, appointments, document drop-offs, and client requests. The successful candidate should be able to remain patient, organized, and professional during these periods.
