Job Description
Overview We are seeking a dynamic and organized Office Assistant / Receptionist to join our team! The role offers an exciting opportunity to be the welcoming face of our organization while ensuring smooth daily operations. You will handle front desk responsibilities, manage administrative tasks, vendor & supplier coordination, shipping and fulfillment and support other adminstrative office management functions with enthusiasm and professionalism. Ideal candidates are proactive, detail-oriented, and possess excellent communication skills to create a positive experience for visitors and team members. This paid position provides a chance to develop your administrative expertise in a vibrant work environment. What You'll Do Vendor & Supplier Coordination Use Microsoft Excel and Outlook to send and track quote requests Monitor and follow up on on-time delivery communications Scan and organize incoming vendor documentation Shipping & Fulfillment Inspect products for quality and accuracy before shipment Package small items securely for delivery Complete shipping forms using PDF software Send shipping notifications to customers Administrative Support Greet visitors warmly, providing exceptional customer service and maintaining a professional front desk presence Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Scan, rename, and file completed paperwork Match vendor bills with payments Perform inventory counts and update records Answer and direct phone calls as needed
What We're Looking For:
