The Front Desk Administrative Assistant is the first point of contact for students, families, staff, and visitors at Quantum High School. This person creates a welcoming and organized front office, responds to questions, supports student enrollment and attendance processes, and helps the school day run smoothly. The role requires professionalism, sound judgment, attention to detail, and respect for confidential information.
PRIMARY RESPONSIBILITIES
Reception and Family Support Greet students, families, and visitors promptly and courteously. Answer and direct phone calls, emails, and front desk inquiries. Help families connect with the appropriate staff member for enrollment, attendance, academic, or student support questions. Provide clear information about school hours, appointments, meetings, and general procedures. Support a welcoming front office experience for families beginning the enrollment and orientation process. Student and Visitor Procedures Follow school procedures for visitor check-in, identification, badges, and access to campus. Verify authorization before releasing a student, following school policy. Notify the appropriate administrator or staff member when a student or visitor needs immediate assistance. Follow established emergency and safety procedures. Administrative Support Maintain an orderly front desk and reception area. Prepare, organize, scan, file, and distribute school documents. Assist with appointment scheduling, meeting preparation, mail, supplies, and routine office communications. Support enrollment and orientation paperwork as assigned. Enter and maintain information in school systems accurately and on time, within the access granted to the position. Work with the enrollment specialist, attendance coordinator, parent liaison, and administrative team to route questions and follow up on outstanding items. Campus Access and Safety Support Serve as the front office point of contact for visitors entering campus and follow established check-in and identification procedures. Maintain visitor records and issue visitor badges in accordance with school procedures. Promptly notify the designated administrator or security staff of an unauthorized visitor, a concern at the entrance, or an urgent safety issue. Keep the front entrance and reception area organized so visitors can be directed appropriately. Assist with front office communication during drills and emergencies, following directions from school leadership. Professional Expectations Protect student, family, and employee information in accordance with school policies and applicable confidentiality requirements. Communicate calmly and respectfully, including during busy or difficult situations. Follow directions, meet deadlines, and keep the supervisor informed of issues requiring attention. Maintain reliable attendance and punctuality. Perform other related duties assigned by the Principal or designee. Qualifications High school diploma or equivalent required; additional training or experience in office administration preferred. Experience in a school, reception, customer service, or administrative role preferred. Strong communication, organization, and computer skills. Ability to manage several requests at once while maintaining accuracy and a welcoming manner. Ability to work effectively with students and families from diverse backgrounds. Bilingual skills preferred.
