Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Manage phone calls to handle inquiries efficiently, directing calls accurately and courteously. Maintain organized filing systems, including digital spreadsheets and paper documents, to support office operations. Perform data entry tasks with precision using productivity software such as Microsoft Office and QuickBooks. Assist with calendar management and scheduling appointments for staff members or executives. Support office management by coordinating supplies, managing incoming mail, and overseeing general administrative tasks. Provide exceptional customer service by addressing inquiries promptly, offering support via phone or email, and maintaining positive client communication. Qualifications Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry. Proficiency with phone calls, office management software, and computer literacy. Bilingual abilities are highly valued to assist diverse client needs effectively. Excellent phone etiquette, communication skills, and a friendly demeanor to support customer service excellence. Prior experience using QuickBooks or similar accounting software is a plus. Strong time management skills with the ability to prioritize tasks efficiently in a busy environment. Demonstrated attention to detail in proofreading documents and maintaining accurate records.
