Job Description

We are looking for an experienced fully in office on site Front Desk Coordinator to support daily office operations in Fernandina Beach, Florida. This contract-to-permanent opportunity is ideal for someone who enjoys creating a welcoming first impression while keeping front office activity organized and efficient. The role is fully on-site and requires strong communication skills, sound judgment, and the ability to manage a busy reception environment with confidence.
Responsibilities:
  • Welcome visitors, clients, and vendors with a courteous and attentive approach while maintaining an organized front desk area.
  • Manage a multi-line phone system, direct incoming calls accurately, and relay messages in a timely manner.
  • Coordinate front office activities such as guest check-in, meeting support, mail distribution, and general administrative coverage.
  • Provide concierge-style assistance by responding to routine questions and helping direct guests to the appropriate contacts or departments.
  • Prepare, format, and distribute business and legal correspondence with close attention to accuracy, tone, and confidentiality.
  • Support office staff with administrative tasks, document handling, and scheduling needs in a corporate environment.
  • Maintain records, reception logs, and office communications to ensure information is current and easy to access.
  • Assist with operational updates or internal process changes as needed while helping the office maintain consistent service standards.
