Duties Greet visitors and clients warmly, providing outstanding customer service and ensuring they feel valued from the moment they arrive Manage multi-line phone systems to handle inquiries efficiently, directing calls to appropriate departments or personnel Maintain organized front desk operations, including filing, data entry, and managing office supplies to support seamless workflow Schedule appointments, manage calendars, and coordinate meetings using productivity software and calendar management tools Handle incoming and outgoing correspondence with professionalism and accuracy through word processing and email communication Assist with office management tasks such as maintaining records in spreadsheets, updating databases like QuickBooks, and supporting clerical functions Provide general administrative support including proofreading documents, managing client communication, and supporting team members with personal assistant tasks Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency Experience with office management systems such as QuickBooks or similar accounting software Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong phone etiquette skills with experience operating multi-line phone systems and providing customer support Bilingual abilities are highly valued to serve diverse client needs effectively Demonstrated data entry accuracy, proofreading skills, and attention to detail in clerical tasks Proven ability to manage time efficiently, prioritize responsibilities, and maintain productivity software tools for optimal workflow This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant team environment.
