Job Description

Job Summary We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a friendly and efficient environment for clients, visitors, and team members alike. This is an entry level position, and training will be provided. Office experience is preferred, but most important is the right fit. Salary is commensurate with experience. Duties Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail Maintain organized filing systems Process medical records received and save all to the appropriate files Perform clerical duties such as general correspondence, managing office supplies, and supporting general administrative tasks Assist paralegals with copying, mailing, and basic file maintenance Experience preferred Previous office experience or administrative support roles demonstrating strong organizational skills and professionalism Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry processes Experience with multi-line phone systems and phone communication best practices Bilingual abilities are highly desirable to assist diverse client needs effectively Technical proficiency with computer literacy including internet navigation, email management, and basic troubleshooting skills Demonstrated ability to manage time efficiently while handling multiple tasks in a fast-paced environment Personal assistant or front desk experience preferred but not required; a strong willingness to learn is essential This role is perfect for someone eager to learn and grow in the position and within the firm.
