Overview We are seeking a dynamic, energetic, and personable Front Desk Receptionist to serve as the welcoming face and first impression of our practice. This vital position offers an engaging environment where your organizational talents, technical proficiency, and communication skills will shine. In this role, you will take primary responsibility for welcoming patients, managing front desk operations, and executing various administrative duties centered on direct patient care and scheduling. The ideal candidate will support the practice in delivering high-quality medical care while providing exceptional customer service to all patients and outside parties. Bilingual (English/Spanish) skills are strongly preferred.
Responsibilities Patient Check-In & Greeting:
Welcome patients, vendors, and visitors professionally and courteously. Verify patient demographics, collect co-pays, co-insurance, deductibles, and outstanding balances, and issue receipts. Ensure all intake and consent forms are completed before care.
Patient Check-Out & Scheduling:
Process patients at check-out, scheduling follow-up appointments, lab tests, procedures, and referrals in accordance with provider protocols.
Call Management & Communication:
Answer incoming phone calls promptly, answer patient inquiries, and route messages or emails appropriately. Monitor and respond to voicemail messages and division inbox inquiries in a timely manner.
EHR & Patient Records Management:
Enter and maintain accurate patient demographics, insurance details, and medical records in the EHR system. Assist patients with enrollment and navigating the patient portal.
Insurance Verification & Prior Authorizations:
Confirm insurance eligibility and coverage prior to patient appointments to ensure smooth billing workflows.
Contraceptive Tracking & Logistics:
Coordinate patient IUD requests by logging candidate names, ordering devices, and tracking shipment delivery dates to ensure inventory is available prior to patient appointments.
Schedule & Desk Maintenance:
Conduct appointment reminder notifications, manage no-shows and cancellations to optimize provider schedules, and keep the reception area clean and organized.
Mail & Deliveries:
Receive, sort, and distribute incoming faxes, mail, and special deliveries Experience 2+ years of front desk or administrative experience in a medical office setting (OB/GYN experience preferred). Strong working knowledge of EHR systems and Microsoft Office (Word, Excel, Outlook). Experience with multi-line phone systems and phone etiquette to ensure effective communication. Bilingual abilities are highly desirable to serve diverse client needs effectively. Strong computer literacy with technical proficiency in office management software and productivity tools Demonstrated customer service skills with a focus on client communication and support Ability to manage time efficiently, prioritize tasks, and maintain professionalism in a fast-paced environment
Location & Training:
Please note that initial onboarding and training will take place at our Wesley Chapel office . Upon completion of training, the permanent job placement will be at our new Lutz office , conveniently located at St. Joseph's Hospital .
Pay:
$17.00 - $18.00 per hour Expected hours: 40.0 per week
