Front Desk Receptionist Pro-Care Research Center,Corp Miami Lakes, FL Job Details Full-time $18 - $21 an hour 3 hours ago Qualifications HIPAA Filing Scanning Organizational skills Faxing Full Job Description Job Overview The Front Desk / Receptionist is responsible for providing professional administrative and reception support to patients, research participants, investigators, Clinical Research Coordinators (CRCs), sponsors, monitors, vendors, and other visitors to the Clinical Research Center. This position serves as the first point of contact for the research site and plays an important role in maintaining an organized, professional, confidential, and participant-centered environment. The Front Desk staff member assists with appointment scheduling, participant check-in and check-out, telephone communications, administrative documentation, and coordination of participant flow while maintaining confidentiality and following applicable site policies, Standard Operating Procedures (SOPs), study requirements, and privacy regulations. Responsibilities Greet research participants, patients, visitors, sponsors, monitors, and vendors in a courteous and professional manner. Perform participant check-in and check-out procedures. Schedule research visits according to instructions provided by the Clinical Research Coordinator or authorized research staff. Answer incoming telephone calls professionally and promptly. Collect and verify demographic and contact information. Maintain organized administrative records. Follow established procedures for handling confidential participant information. Respond to inquiries from potential research participants. Provide approved general information regarding available clinical research studies. Collect basic contact information from potential participants. Assist CRCs with administrative aspects of participant scheduling and communication. Notify CRCs of participant arrivals, cancellations, and scheduling issues. Assist with preparing administrative materials for upcoming visits when requested. Maintain communication between the Front Desk and research team to facilitate efficient participant flow. Provide other non-clinical administrative support as assigned. Professionally receive Clinical Research Associates (CRAs), sponsor representatives, auditors, vendors, and other authorized visitors. Follow site procedures regarding visitor identification, sign-in, confidentiality, and access to restricted areas or research records. Maintain strict confidentiality of participant and research information. Protect Protected Health Information (PHI) and other confidential information. Follow applicable HIPAA requirements and site privacy policies. Secure documents and electronic information according to site policies. Immediately report suspected privacy or confidentiality incidents to the appropriate supervisor. Receive and distribute mail, packages, correspondence, and deliveries. Maintain Front Desk supplies and notify management when supplies need to be ordered. Perform scanning, copying, filing, faxing, and other administrative duties. Maintain visitor logs when required. Follow the Clinical Research Center's policies and Standard Operating Procedures (SOPs). Maintain participant confidentiality and privacy.
