We are looking for a motivated and dependable Receptionist / Appointment Coordinator to become an important part of our team and help support the daily operations of our office. Position Summary The Receptionist / Appointment Coordinator is the first point of contact for customers and plays an important role in creating a positive customer experience. This position is responsible for answering and directing phone calls, scheduling and confirming appointments, greeting customers, managing paperwork , email, WhatsApp/text messages, and vehicle photos at drop-off, sending appointment reminders and follow-ups, and keeping the reception and waiting areas organized and welcoming. Pay starts between $16.00 - $18.50 per hour , depending on experience. As you learn more, take on additional responsibilities, or develop additional skills—your compensation may increase. Essential Duties and Responsibilities Answer incoming calls in a courteous and professional manner and direct them to the appropriate department or person. Schedule service, body shop, and collision appointments accurately. Send appointment reminders by phone, text, or email and perform follow-up calls as needed. Update customers on the status of their vehicle and communicate relevant information professionally. Take accurate messages and document all customer interactions. Greet customers as they enter the dealership or body shop and provide professional customer service. Handle the vehicle drop-off process, including collecting required paperwork, taking clear photos of the vehicle (damage, condition, mileage, etc.), and ensuring all required documents are complete. Scan, file, organize, and maintain customer paperwork and digital records. Receive payments when needed and follow company procedures for payment processing. Stock and maintain the customer lounge, including snacks, drinks, and general cleanliness. Keep the showroom, reception area, and customer waiting areas clean, organized, and professional. Maintain a clean, organized, and safe work environment. Participate in required training and continue developing knowledge of company procedures and systems. Assist with general administrative and clerical tasks to support the daily operations of the office. Provide assistance to other departments and team members when needed. Help maintain organized customer records, files, forms, and office documentation. Assist with general office organization, administrative projects, and other operational needs. Perform other reasonable duties and responsibilities as needed to support the efficient operation of the office and business. Opportunity to learn and perform vehicle damage estimates using CCC. Experience with CCC is preferred and may qualify for higher starting pay. Qualifications Previous customer service and administrative experience required.
Preferred:
Experience in the automotive industry, including a collision center, body shop, dealership service department, or similar environment. Strong organizational skills and excellent interpersonal and communication skills. Ability to communicate clearly and professionally with customers, insurance representatives, vendors, and team members. Basic knowledge of Microsoft Office, including Word, Excel, and Outlook. Comfortable using scheduling software, CRM systems, and other computer-based office applications. Ability to understand and follow instructions accurately. Reliable, detail-oriented, and able to multitask effectively in a fast-paced environment. Professional appearance and a positive, customer-focused attitude. Ability to maintain confidentiality and handle customer and company information appropriately. Bilingual English/Spanish preferred
