Receptionist / Office Support

Job Overview We are seeking a dynamic and detail-oriented Permitting Specialist and Office Receptionist to join our team. This dual-role position combines vital permitting responsibilities with front desk and administrative duties, ensuring smooth office operations and efficient permit processing. Responsibilities Manage and process permit applications, renewals, and related documentation with accuracy and timeliness. Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately. Handle incoming calls with professionalism, and provide courteous customer support. Maintain organized filing systems for permits, correspondence, and office records, both digitally and physically. Utilize computer skills including Microsoft Office Suite, Google Workspace, QuickBooks, and data entry to support administrative tasks. Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping. Coordinate calendar management, schedule appointments, and handle travel arrangements for staff as needed. Support office management duties including supply inventory, mail distribution, and maintaining a clean, efficient workspace. Proofread documents for accuracy and clarity before submission or distribution. Qualifications Proven experience in office reception or administrative roles with clerical or reception duties. Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry tools. Excellent organizational skills with keen attention to detail and ability to multitask efficiently. Exceptional phone etiquette skills Prior experience in permit processing or related regulatory work is a PLUS but not required. Strong typing skills along with good proofreading abilities to ensure error-free documentation. Demonstrated customer service skills with a friendly demeanor and professional attitude.
