In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and proactive approach will help create a professional and friendly environment for clients, visitors, and team members alike. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, efficiently directing calls and providing accurate information. Handle incoming and outgoing correspondence, including emails, mailings, and deliveries. Maintain organized filing systems, update spreadsheets, and perform data entry tasks with precision. Support calendar management and scheduling for meetings and appointments using productivity software. Assist with office management duties such as inventory tracking, supply ordering, and maintaining cleanliness. Provide customer support by answering inquiries promptly and courteously while demonstrating excellent phone etiquette. Utilize computer skills including Microsoft Office applications (Word, Excel) for document creation and proofreading. Perform clerical tasks such as copying, scanning, and preparing reports to ensure efficient office operations. Demonstrate technical proficiency in office equipment and software to enhance productivity. Qualifications Proven experience in office management or administrative support roles with strong organizational skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, and data entry. Strong communication skills, both verbal and written; bilingual abilities are a plus. Experience handling multi-line phone systems and providing exceptional customer service. Familiarity with QuickBooks or similar accounting software is desirable but not required. Ability to manage time effectively while multitasking in a fast-paced environment. Previous front desk or clerical experience is preferred; personal assistant experience is a bonus. Demonstrated professionalism with excellent phone etiquette and attention to detail in proofreading documents.
