Job Description
Job Summary We are a busy, well-established, law firm seeking an energetic and detail-oriented Law Office Receptionist & Office Services Coordinator to serve as the first point of contact for clients and callers, while also supporting the day-to-day administrative and office operations of the firm. This vital role combines front desk responsibilities with office management, ensuring smooth daily operations and exceptional client support. The ideal candidate will be a proactive communicator with strong organizational skills, capable of managing multiple tasks efficiently, while maintaining a professional and welcoming environment. Duties Greet clients, visitors, and vendors warmly, providing excellent customer service and ensuring a positive first impression Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate team members Maintain a clean, organized reception area and office environment Handle incoming and outgoing mail, deliveries, and courier services promptly Support office management tasks including supply inventory, equipment maintenance, and vendor communications Provide clerical support such as photocopying, scanning, proofreading, and data entry to streamline office workflows Maintain and update client files in the firm's electronic case management system Assist attorneys and staff with administrative and clerical tasks Maintain organization and cleanliness of common areas, including the kitchen and conference rooms Scan, upload, and index documents accurately Monitor, order, and restock office supplies as needed Experience Proven experience in a Law office environment with strong clerical or administrative responsibilities Prior experience working as a receptionist in a Law office is a must Demonstrated proficiency in Microsoft Office (Word, Excel, Outlook), Adobe, and basic computer literacy skills Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are a plus to assist diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Excellent customer service skills with a friendly yet professional demeanor Attention to detail in managing data entry tasks
