Job Description

Overview We are seeking a dynamic and organized Receptionist / Client Intake Specialist to be the welcoming face of our office and the first point of contact for our clients. This energetic role combines front desk responsibilities with client intake duties, ensuring a smooth and professional experience for everyone who walks through our doors or calls our office. The ideal candidate will possess excellent communication skills, a proactive attitude, and a knack for multitasking in a fast-paced environment. This paid position offers an opportunity to develop vital administrative skills while contributing to a positive, client-focused atmosphere. Responsibilities Greet clients, visitors, and vendors warmly, creating a friendly and professional first impression Manage multi-line phone systems efficiently, directing calls accurately and courteously Schedule appointments, manage calendars, and coordinate meetings using digital tools such as Google Workspace and Microsoft Office Handle data entry tasks with precision, including filing, record keeping, and updating client information in various databases like QuickBooks or other CRM systems Provide exceptional customer service by addressing inquiries promptly and professionally via phone or in person Maintain office organization through filing, proofreading documents, and managing supplies to ensure a tidy and efficient workspace Support administrative tasks such as proofing correspondence, managing calendar reminders, and assisting with bookkeeping activities Qualifications Proven experience in front desk operations or office management roles with strong clerical skills Excellent phone etiquette with experience handling multi-line phone systems in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience with bookkeeping software like QuickBooks or similar tools is a plus Demonstrated customer service expertise with the ability to handle inquiries tactfully and professionally Personal assistant or administrative support experience that highlights calendar management and time management capabilities Join us as a Receptionist / Client Intake Specialist to be an integral part of our team—delivering outstanding service while honing your administrative expertise in a vibrant work environment.
