This vital role combines front desk responsibilities with administrative support, ensuring our office runs smoothly and efficiently. The ideal candidate will be energetic, positive, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers, manage daily administrative tasks, assisting with file management, and support office management functions to foster a welcoming and productive environment. This paid position offers an exciting opportunity to develop your professional skills while contributing to a vibrant team. Duties Greet visitors warmly, answer multi-line phone systems, and direct calls with professionalism and courtesy using proper phone etiquette Manage front desk operations, including checking in guests, scheduling appointments, and handling mail and deliveries Maintain organized filing systems, perform data entry, and update records accurately using Microsoft Office, SmartAdvocate, and other office software Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings Assist with mail tracking, client satisfaction, office management, and document management Provide exceptional customer service by addressing inquiries promptly and supporting client needs with professionalism Perform clerical duties including proofreading documents, managing office supplies inventory, and ensuring smooth daily operations Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Experience with multi-line phone systems and phone etiquette to handle high call volumes gracefully Bilingual abilities are highly desirable to serve diverse client needs effectively Prior office experience or administrative experience is preferred; familiarity with office management practices is a plus Exceptional time management skills to prioritize tasks effectively throughout the day Attention to detail for proofreading documents and maintaining accurate records Personal assistant or medical/dental receptionist experience is beneficial but not required; willingness to learn is essential Join us in creating a welcoming atmosphere while supporting our team's success!
