In this vital role, you will be the first point of contact for visitors, clients, and staff, ensuring a warm, professional, and efficient experience. Your energetic approach will help create a welcoming environment while managing administrative tasks seamlessly. Duties Greet visitors and clients warmly, providing exceptional customer service in both Spanish and English Answer multi-line phone systems promptly, professionally, and courteously, directing calls as needed Manage front desk operations including scheduling appointments, maintaining visitor logs, and handling incoming correspondence Perform clerical tasks such as filing, data entry, proofreading documents, and word processing using Microsoft Office applications Organize office supplies and manage inventory to ensure smooth daily operations Assist with calendar management and coordinate meetings or appointments for staff and clients Support office management activities by handling administrative support tasks efficiently and with attention to detail Skills Bilingual proficiency in Spanish and English is essential for effective communication with diverse clients and visitors Strong office management skills combined with experience in clerical duties and customer service Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy and typing skills Experience with multi-line phone systems, phone etiquette, and phone reception best practices Exceptional organizational skills with the ability to prioritize tasks effectively and manage time efficiently Excellent client communication skills with a friendly demeanor that fosters positive interactions Attention to detail for proofreading documents, maintaining accurate filing systems, and managing schedules accurately Previous office experience or personal assistant background is preferred but not required; a proactive attitude is key Join us to be part of a vibrant team where your energy makes a difference!
