Job Description
Overview We are seeking a skilled and organized Receptionist/Administrative Assistant to join our team. This role is essential for ensuring smooth operations within our office, providing support to both staff and clients. The ideal candidate will possess strong communication skills, a keen attention to detail, and a solid understanding of accounting principles. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a professional demeanor. Duties Greet visitors and clients in a friendly and professional manner. Answer phone calls, take messages, and direct inquiries to the appropriate personnel. Assist dispatch department with scheduling jobs and dispatching operators Maintain an organized filing system for documents and records. Assist with accounts receivable tasks, including invoicing and payment tracking. Perform bank reconciliation and general ledger reconciliation as needed. Utilize accounting software such as Quickbooks for managing financial records. Handle double entry bookkeeping and ensure accuracy in all financial transactions. Collaborate with team members to improve office processes and workflows. Skills Exceptional grammar and spelling skills are a priority Proficiency in accounting principles, including tax regulations and GAAP. Familiarity with Quickbooks or similar accounting software is preferred. Strong organizational skills with the ability to manage multiple priorities effectively. Detail-oriented mindset with a focus on accuracy in data entry and record keeping. Ability to work independently as well as part of a team. Previous experience in an administrative or receptionist role is advantageous.
