Job Description
Operations Coordinator Quality Care Pediatrics Quality Care Pediatrics is seeking a highly organized, personable, and dependable Operations Coordinator to help manage the day-to-day flow of our pediatric practice. This is a hands-on position combining front-office coordination, exceptional patient service, and Medical Assistant responsibilities . We are looking for someone who can confidently manage the front desk while also stepping into the clinical area when needed. The ideal candidate is proactive, professional, warm, patient, and comfortable handling a fast-paced environment where priorities can change throughout the day. ResponsibilitiesFront Office & Operations Greet patients and families warmly and professionally Answer and manage incoming phone calls Schedule, reschedule, and confirm appointments Check patients in and out efficiently Maintain accurate patient demographic and insurance information Verify insurance eligibility and coverage Collect copays, balances, and other patient payments Manage incoming faxes, forms, medical records, and correspondence Coordinate referrals and administrative follow-up Monitor provider schedules and help maintain efficient patient flow Assist with resolving scheduling, billing, and patient-service concerns Coordinate with providers, clinical staff, billing, and management Maintain an organized and welcoming front-office environment Help identify and resolve operational issues before they become larger problems Assist with supplies and other day-to-day office needs Medical Assistant Support Room patients and prepare them for provider visits Obtain and document vital signs, height, weight, and other required information Update patient histories and medications Prepare and turn over exam rooms Assist providers during examinations and procedures as appropriate Perform routine Medical Assistant duties within training and scope Assist with immunization, laboratory, specimen, and medication workflows as permitted Assist with referrals, prescriptions, forms, and follow-up tasks Maintain clinical supplies and exam-room readiness Support providers and clinical staff to keep patient flow moving efficiently Patient Experience Our patients and families come to us with different personalities, circumstances, and needs. Some interactions will be easy; others may require significant patience. The Operations Coordinator must be able to remain kind, respectful, composed, and solution-oriented during challenging interactions . We are looking for someone who doesn't become argumentative or dismissive when a patient or parent is frustrated. You should be able to listen, communicate clearly, de-escalate situations when possible, and enforce practice policies respectfully. Excellent customer service is an essential part of this position. Qualifications Medical Assistant experience or training Previous medical-office or healthcare experience strongly preferred Excellent customer-service and interpersonal skills Strong telephone etiquette and communication skills Comfortable working with children, parents, and caregivers Ability to remain professional and pleasant during difficult interactions Strong organization and attention to detail Ability to multitask and change priorities quickly Experience with scheduling and patient registration Familiarity with insurance verification Comfortable using EHR and practice-management systems Dependable attendance and punctuality Strong judgment and problem-solving skills Ability to maintain patient confidentiality and follow HIPAA requirements Who We're Looking For We want someone who takes ownership .
