Job Description
Job Overview We are seeking a dedicated and detail-oriented Front Desk Receptionist / Scribe to join our healthcare team. This vital role involves managing patient interactions, maintaining accurate medical records, and supporting clinical documentation. The ideal candidate will possess strong administrative skills, familiarity with EMR systems, and a commitment to patient confidentiality and excellent service. Prior experience in medical offices, dental clinics, or hospital settings is highly preferred. Bilingual abilities are a plus to effectively serve diverse patient populations. Duties Greet patients warmly and professionally upon arrival and departure Verify insurance coverage and perform insurance verification procedures Schedule appointments using electronic scheduling systems such as icanotes Collect patient information and update electronic health records (EHR systems like Athenahealth, eClinicalWorks) accurately Assist with intake procedures, including collecting copayments and explaining clinic policies Review and update medical documentation, ensuring compliance with HIPAA regulations Manage multi-line phone systems with professionalism and courtesy, handling appointment requests and inquiries Prepare and review clinical documentation for accuracy and completeness Support medical coding activities including
CPT, ICD-9, ICD-10
coding for billing purposes Maintain organized medical records filing system both electronically and physically Facilitate communication between patients and healthcare providers to ensure smooth clinic operations Assist with administrative tasks such as data entry, typing reports, and managing office supplies Qualifications Proven experience in a medical office setting or healthcare environment; dental office experience is a plus Familiarity with EMR/EHR systems such as icanotes is highly desirable Knowledge of medical terminology, CPT coding, ICD coding (ICD-9/ICD-10), and insurance processes including Medicare is preferred Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel) and 10-key typing skills Excellent phone etiquette with the ability to handle multi-line phone systems efficiently Exceptional organizational skills with attention to detail in documentation review and data entry Ability to maintain confidentiality in accordance with HIPAA regulations Bilingual skills are advantageous for serving diverse patient populations Prior experience in healthcare customer service or administrative support is beneficial Strong interpersonal skills with a professional demeanor suitable for a front desk environment Act as the clinician's documentation assistant by recording history, exam findings, assessments, and plans directly into the electronic health record (EHR) during or immediately after visits. Prepare and assemble charts, update past medical, family, and social history, and ensure all documentation is routed to the provider for review and signature. Strong typing and computer skills, attention to detail, and the ability to learn medical terminology and documentation standards, especially for EHR systems. Clear written and verbal communication, professionalism with patients and staff, strict respect for privacy and HIPAA, and the ability to work in a fast-paced, high-pressure clinical environment. Medical scribes work under direct supervision of licensed providers, who are ultimately responsible for the clinical decisions and for verifying and signing the documentation.
