Client Care Coordinator / Receptionist Psych Collective — [
CITY, STATE
] | Full-Time, In-Person | $18-$22/hour Psych Collective is a small group therapy practice, and the person at our front desk is the first human voice a new client hears — often on one of the hardest days they've had in a while. We're looking for a Client Care Coordinator who understands that reaching out for therapy takes courage, and who can make that first contact feel warm, unhurried, and genuinely welcoming. This is a full-scope role. You'll run the front desk, manage the schedule, handle insurance verification and billing follow-up, and guide new clients from their first phone call through their first session. What you'll do Front desk & client experience Greet clients warmly on arrival and create a calm, welcoming waiting room environment Answer and triage incoming calls, voicemails, emails, and portal messages with same-day responsiveness Manage clinician calendars: scheduling, rescheduling, cancellations, waitlist management, and appointment reminders Collect copays and payments at time of service, and maintain accurate front-desk records Keep the office running smoothly — supplies, mail, opening and closing procedures, and general upkeep of shared spaces New client intake Field inquiry calls and web form submissions, answering questions about services, availability, and fees Conduct brief intake conversations to understand what a prospective client is looking for Match new clients to the clinician best suited to their needs, availability, and insurance Send, track, and review intake paperwork so clients arrive at session one fully prepared Follow up with prospective clients who haven't yet scheduled Insurance & billing Verify benefits and eligibility before the first appointment; clearly communicate coverage, deductibles, and out-of-pocket costs to clients Obtain and track prior authorizations where required Submit claims, post payments, and work denials and rejections to resolution Manage outstanding client balances with professionalism and empathy Maintain accurate, timely data entry in our EHR ([EHR NAME — e.g. SimplePractice / TherapyNotes / Alma]) Practice support Maintain strict HIPAA compliance in every interaction, record, and conversation Support clinicians with administrative requests, records releases, and documentation Flag scheduling patterns, billing issues, or client concerns to leadership before they become problems What we're looking for Required 1+ year in a front desk, administrative, customer service, or client-facing role Excellent phone presence — warm, clear, and comfortable with emotionally sensitive conversations Strong organizational skills and genuine attention to detail; you catch the things other people miss Comfort with technology and the ability to learn new software quickly Demonstrated discretion with confidential information High school diploma or equivalent Preferred (not required — we'll train the right person) Experience in a medical, behavioral health, or mental health practice Working knowledge of insurance verification, CPT/ICD-10 coding, and claims submission Experience with an EHR or practice management system, especially [
