Job Description

Overview We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management activities. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to ensure smooth daily operations. As a key point of contact, you will create a positive first impression for visitors and clients while efficiently handling administrative tasks that keep our office running seamlessly. Duties Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring they feel welcomed and valued Manage multi-line phone systems, directing calls accurately and courteously to appropriate departments or personnel Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution Maintain front desk appearance, including filing, organizing documents, and managing supplies to keep the workspace tidy and efficient Support office management tasks such as calendar management, appointment scheduling, and data entry using tools like Microsoft Office and Google Workspace Assist with clerical duties including proofreading documents, maintaining records, and performing basic bookkeeping using QuickBooks or similar software Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining excellent phone etiquette Skills Proven experience in office management or administrative support roles with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with clerical tasks such as filing, data entry, proofreading, and document management Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent interpersonal skills with a friendly demeanor to provide top-tier customer service Ability to handle confidential information discreetly while maintaining accuracy in record-keeping Join our team as a Receptionist where your organizational talents and vibrant personality will help create a welcoming atmosphere while supporting our office's success.
