A Receptionist greets and directs customers or visitors that come in to an office or business, and answers and directs incoming phone calls. Deals with mail or courier services. May schedule appointments or meeting rooms, gather patient information, or assist with filing or other administrative support work.
1 - 3 years administrative office experience Key Responsibilities The successful candidate will be able to demonstrate core competencies in the following areas: Greeting all visitors in a friendly, confident, and welcoming manner. Provide basic maintenance and support for office equipment, including copiers, postage equipment, and computers. Manage and monitor office supply inventory; order and replenish supplies as needed. Maintain a neat, clean, organized, and professional office environment. Set up conference room for meetings and ensure rooms are cleaned and returned to order following meetings. Manage the check-in and check-out of property keys and maintain accurate key records. Maintain current marketing flyers in the office. Research properties for tours, property information, and potential new inventory. Receive, sort, distribute, and send office mail to the appropriate recipient. Coordinate access to the office and mezzanine areas for the cleaning company and other authorized service providers. Label, duplicate, organize, and distribute property keys to tenants as needed. Conduct move-in and move-out inspections and document premises conditions with photographs and written records. Post required notices at properties, including pay or quit notices as directed. Provide authorized access to tenant suites for vendors and service providers when tenants are unavailable, including HVAC, IT, maintenance, and other necessary services. Provide access to the Twin Falls office for authorized maintenance and service personnel as needed. Scan and electronically distribute documents received by the office to the appropriate Property Manager or designated recipient. Maintain regular communications with Property Manager and Director of HR in the Boise office. Perform other duties and responsibilities as assigned.
