Full-Time (40 hours per week)

Position Summary The Front Desk Coordinator serves as the first point of contact for patients, visitors, and staff, ensuring a welcoming, professional, and efficient experience. This role is responsible for managing front office operations, scheduling, patient communication, registration, and supporting overall clinic workflow to ensure smooth daily operations and high-quality patient experience. Essential Duties and Responsibilities Front Desk & Patient Experience
  • Greeting and checking in/out patients in a professional and welcoming manner.
  • Greets patients, vendors, pharmaceutical reps and other visitors to our practice.
  • Answers multiple lines, screens calls, takes accurate and detailed messages & directs calls to appropriate support staff.
  • Schedule, reschedule, and confirm appointments in EMR system according to Practice protocol.
  • Register new patients and maintain accurate demographic information.
  • Provides patients with information regarding payment obligations, HIPAA Notice of Privacy practices, clinic policies, and collects all required forms and signatures.
  • Dependability, punctuality, and ensure a positive and efficient patient experience. Scheduling & Communication
  • Manage provider schedules and appointment availability.
  • Reviews next day's schedules, prints out, in advance of visits.
  • Follow up with patients regarding appointments, forms, and documentation needs.
  • Facilitate referrals and coordinate communication with outside offices, pharmacies, labs, and specialists.
  • Maintain confidentiality and comply with HIPAA regulations.
  • Manage waitlists and assist with scheduling optimization. Administrative Operations
  • Data entry & maintain accurate patient records within the EMR.
  • Scan, upload, and organize patient documents.
  • Coordinate with provider to facilitate the completion of daily tasks and patient care needs.
  • Facilitate the retrieval, processing, and release of medical records while maintaining patient confidentiality.
  • Support clinic events, outreach activities, and special projects as needed.
  • Understand membership enrollment, service programs and clinic policies.
  • Assist with improving front office workflows and efficiency. Qualifications Required
  • High school diploma or equivalent.
  • 1-2+ years of administrative, front desk, or medical office experience.
  • Strong communication and organizational skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with Microsoft Office, Google Workspace, and basic computer systems. Preferred
  • Experience in a healthcare or clinical setting.
  • Familiarity with EMR systems.
  • Knowledge of Direct Primary Care or membership-based healthcare models.

Pay:
$16.00 - $23.00 per hour
