Job Overview We are seeking a dynamic and enthusiastic Entry Level Part Time Receptionist to join our team! This role is perfect for someone eager to kick-start their career in a law firm. As the first point of contact, you will create a welcoming environment for visitors and clients while efficiently managing administrative tasks. Your energy, organizational skills, and positive attitude will help ensure the smooth operation of our front desk and support our team's daily activities. You may contact Margaret at the office for more details. mleineberg@gehrislaw.com Responsibilities Answer multi-line phone systems promptly with professional phone etiquette Manage incoming calls, transfer calls, and take accurate messages as needed, using a legal database and confidential client communication Greet clients warmly and provide assistance to them prior to attorney meeting Handle basic clerical duties such as data entry, filing, opening files, proofreading documents, some translation, and emailing with attention to detail Support office management tasks including calendar management and appointment scheduling, confirming appointments, taking payments electronically Maintain organized records using Microsoft Office, Excel, Smokeball, and other office tools for database and client management Scan documents to the network and label accordingly Qualifications Bilingual Spanish/English abilities are required to effectively communicate with clients Prior office or administrative experience is preferred but not required; enthusiasm to learn and become part of the team is essential Strong computer literacy with proficiency in Microsoft Office (Word, Excel), and basic computer skills are necessary Excellent organizational skills with keen attention to detail and time management capabilities to prioritize workload Demonstrated customer service skills with a friendly, professional demeanor at the front desk Ability to handle multi-line phone systems efficiently while maintaining professionalism Basic typing speed for data entry and correspondence; familiarity with office equipment such as printers, fax machines, and scanners is a plus Join us in creating a positive first impression for everyone who walks through our doors!
