Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, creating a welcoming environment. Manage multi-line phone systems, directing calls efficiently and courteously while taking detailed messages when necessary. Handle all incoming correspondence, including emails, mail, and packages, ensuring timely distribution. Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office. Support office management tasks including calendar management, appointment scheduling, and meeting coordination. Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to process invoices and expenses. Provide exceptional customer service by addressing inquiries promptly and professionally both in person and over the phone. Requirements Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry. Excellent computer literacy with the ability to quickly adapt to new software tools. Strong verbal and written communication skills; bilingual ability is a plus for diverse client interactions. Experience managing multi-line phone systems and practicing professional phone etiquette. Demonstrated ability to handle front desk operations efficiently while managing multiple priorities. Previous experience with office management tasks such as calendar coordination, filing systems, and document proofreading is highly desirable.
