Our west side office at 8313 W 10th Street is a busy hub for agents, clients, and vendors. We're looking for a warm, organized, and dependable person to be the first face and voice people experience when they walk in or call. Position Summary The Receptionist / Office Administrator runs the front desk and keeps the west side office operating smoothly. This person greets clients and agents, answers and routes calls, directs incoming leads to the right agent, keeps supplies and common areas stocked and presentable, and provides general administrative support to brokerage leadership and agents. This is a people-first role. The right person is genuinely friendly, hard to rattle, and takes ownership of the office without needing to be asked twice. Key Responsibilities Front Desk & Client Experience Greet every walk-in — clients, agents, vendors, and inspectors — professionally and warmly Answer, screen, and route incoming calls; take accurate messages and follow up Respond to general email inquiries and forward them to the right person promptly Maintain a clean, welcoming, and professional reception area, conference rooms, and common spaces Set up conference rooms for meetings, closings, and team trainings Lead Routing & Scheduling Support Enter and route incoming buyer and seller inquiries to the appropriate agent the same day they arrive Confirm appointments and send reminders to clients and agents Maintain accurate contact records and update the team database as directed Manage office calendars, floor-time schedules, and conference room reservations Office Administration Order and manage office supplies, marketing collateral, and break-room stock Track and reorder yard signs, lockboxes, and rider inventory Receive, sort, and distribute mail and deliveries; prepare outgoing shipments Coordinate with building maintenance, cleaning crews, and vendors on office issues Assist with onboarding new agents — desk setup, keys, building access, supply kits, directory updates Maintain general office files and keep shared drives organized Support team events, open house preparation, and client appreciation activities General Provide administrative support to the broker/owner and team leadership as needed Handle confidential client and company information with discretion Other duties as assigned to support the office and team QualificationsRequired High school diploma or equivalent 1+ year in a receptionist, front desk, customer service, or administrative role preferred Strong written and verbal communication skills; professional phone presence Proficient with Microsoft Office and/or Google Workspace (Docs, Sheets, Gmail, Calendar) Comfortable learning new software quickly Excellent organization and attention to detail; able to juggle interruptions without losing track Reliable, punctual, and able to work on-site Monday-Friday Ability to lift up to 25 lbs (supply deliveries, sign and marketing materials) Preferred Prior experience in real estate, title, mortgage, insurance, or property management Familiarity with a CRM system (BoldTrail/kvCORE, Follow Up Boss, or similar) Basic Canva or social media posting experience Notary commission (or willingness to become a notary — we'll cover the cost) Who Thrives in This Role You like people and it shows in the first ten seconds You notice when something is out of place and fix it before anyone asks You can hold a friendly conversation at the front desk while keeping a mental list of five other things you owe someone You're discreet — you understand that client and agent information stays in the building You take pride in the office being run well Schedule Monday through Friday, 9:00 AM
