Key Responsibilities:
Front Desk & Client Relations Greet clients, visitors, and vendors in a professional and welcoming manner. Answer and direct incoming phone calls, emails, and messages. Manage client check-ins and ensure a positive front-office experience. Handle general inquiries while maintaining confidentiality and professionalism. Scheduling & Office Coordination Schedule client consultations, meetings, and court-related appointments. Manage attorney calendars and coordinate scheduling changes. Maintain the front desk area and ensure the office is organized and presentable. Administrative & Clerical Support Perform data entry, filing, scanning, copying, and document organization. Maintain physical and electronic client files. Assist with incoming and outgoing mail, including certified mail. Order office supplies and coordinate with vendors as needed. Client Intake & Case Support (Added Responsibilities) Conduct initial client intake and gather basic case information. Prepare intake forms and assist with onboarding new clients. Assist attorneys and paralegals with light legal support tasks such as document preparation, formatting, and filing. Track deadlines and assist with maintaining case organization. Compliance & Confidentiality Handle sensitive and confidential information with discretion. Ensure office procedures and ethical standards are followed at all times.
Qualifications:
Education and Experience High school diploma or equivalent required. Previous experience as a receptionist, administrative assistant, or office support professional preferred. Experience in a legal or professional office setting is a plus. Skills and Competencies Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to multitask, prioritize, and work independently. Professional appearance and demeanor. Strong customer service and interpersonal skills. Other Requirements Ability to handle confidential information with integrity and professionalism. Reliable attendance and punctuality. Ability to work in-office full time.
