Job Description
We are seeking a compassionate, dependable, and highly organized Veterinary Receptionist to join our team. As the first point of contact for our clients, the receptionist plays a vital role in creating a welcoming and professional experience while ensuring the daily operations of the clinic run smoothly. This position requires excellent communication skills, strong attention to detail, the ability to multitask in a fast-paced environment, and a genuine passion for helping both people and animals. The ideal candidate thrives under pressure, maintains a positive attitude, and works well as part of a collaborative team. Essential Responsibilities Greet clients and their pets in a friendly, compassionate, and professional manner. Answer multi-line phone calls promptly and courteously while providing exceptional customer service. Schedule, confirm, manage appointments and surgeries efficiently while maintaining an organized daily schedule. Check patients in and out while accurately updating medical records and client information. Process payments, invoices, estimates, and end-of-day financial transactions. Explain clinic policies, appointment procedures, and preventive care to clients. Communicate effectively between clients, veterinarians, and veterinary technicians to ensure the best quality care. Assist clients with prescription refill requests, food orders, and medication pickups. Monitor and respond to emails, voicemails, and other client communications in a timely manner. Maintain and update client and patient records using the clinic's practice management software. Log electronic patient records accurately. Keep the reception area, lobby, and front office clean, organized, and welcoming. Assist with administrative duties including filing, scanning, inventory ordering, inventory stocking, and general office organization. Handle confidential client and patient information with professionalism and discretion. Support the veterinary team with various administrative tasks as needed throughout the day. Qualifications Previous customer service experience preferred. Veterinary clinic, animal care, or medical office experience preferred. Proficiency with computers and the ability to learn veterinary practice management software. Excellent verbal and written communication skills. Strong organizational skills with exceptional attention to detail. Ability to multitask and prioritize responsibilities in a busy environment. Comfortable working around dogs, cats, and other species of animals. Ability to remain calm, compassionate, and professional during emotional and stressful situations. Reliable attendance and punctuality are essential. Desired Skills Outstanding customer service and interpersonal skills. Strong problem-solving abilities in a fast-paced work environment. Ability to lift up to 45 pounds occasionally. Ability to bend, reach, and perform routine office tasks. Comfortable working in an environment with animal hair, dander, odors, and noise. Schedule & Benefits Part-time position averaging 20-25 hours per week . Occasional weekends and holidays . Hours will vary based on the clinic schedule and staffing needs.
