Job Description
Overview We are seeking an energetic and highly organized Receptionist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, coordinate communication channels, and ensure a smooth flow of administrative tasks. Your enthusiasm and professionalism will set the tone for visitors, clients, and team members alike. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Answer multi-line phone systems promptly, providing excellent customer service and support. Manage incoming and outgoing correspondence using Microsoft Office applications, including Word processing and spreadsheets. Maintain organized filing systems, data entry records, and office supplies inventory to support daily operations. Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and other productivity software. Handle office management duties such as overseeing mail distribution, photocopying, proofreading documents, and maintaining office equipment. Assist with client communication and support tasks to enhance customer satisfaction and streamline office workflows. Experience Proven clerical or administrative experience in an office environment with strong organizational skills. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools. Experience managing multi-line phone systems with professional phone etiquette. Bilingual abilities are highly desirable to support diverse client needs. Familiarity with QuickBooks or similar accounting software is a plus for handling invoicing or financial records. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting. Previous experience in front desk or personal assistant roles that involved client communication and calendar management.
