This vital role combines exceptional customer service with efficient office management, ensuring smooth daily operations. As the first point of contact, you will handle a variety of administrative tasks, manage multi-line phone systems, and support both visitors and staff with professionalism and enthusiasm. Your proactive approach and strong organizational skills will help create a positive environment for everyone who walks through our doors. Responsibilities Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems, directing calls accurately and professionally while providing excellent customer support. Maintain a tidy and organized front desk area, including filing, data entry, and updating records using Microsoft Office and Google Workspace tools. Schedule appointments, manage calendars, and coordinate meetings efficiently to optimize office workflow. Handle clerical duties such as proofreading documents, managing correspondence, and performing data entry tasks with precision. Support office management activities including bookkeeping using QuickBooks, maintaining supplies, and overseeing general administrative functions. Ensure proper phone etiquette is maintained at all times while assisting with customer inquiries and providing support across various departments. Experience Proven office experience with a strong background in front desk or administrative roles. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar). Experience managing multi-line phone systems and providing exceptional customer service in fast-paced environments. Bilingual abilities are highly desirable to serve diverse client needs effectively. Familiarity with clerical tasks such as filing, proofreading, data entry, and calendar management is essential. Previous experience in medical or dental reception is a plus but not required; strong organizational skills and time management are critical for success. Knowledge of office management software like QuickBooks or bookkeeping experience will be advantageous.
