Office Manager / Property Management Team Position Summary We are seeking a friendly, dependable, and organized Part-Time Receptionist to provide professional front-office support for our commercial real estate/property management office. This position is ideal for someone looking for school-hours or "mother's hours" while maintaining a professional work schedule. The successful candidate will be the first point of contact for tenants, vendors, clients, and visitors and will assist with general office administration and light bookkeeping duties. The ideal candidate is personable, organized, detail-oriented, comfortable working independently, and able to manage multiple tasks in a professional office environment. Essential ResponsibilitiesReception & Office Administration- Answer and direct incoming telephone calls in a professional and courteous manner.
- Greet tenants and visitors.
- Respond to general inquiries and direct questions to the appropriate staff member.
- Monitor and respond to general office emails.
- Receive, sort, and distribute mail and deliveries.
- Maintain an organized and professional reception area.
- Schedule meetings and assist with calendars as needed.
- Prepare correspondence, forms, notices, and other routine office documents.
- Maintain office supplies and place orders when necessary.
- Assist with filing, scanning, copying, and electronic document organization.
- Provide general administrative support to the property management team. Light Bookkeeping Responsibilities
- Enter invoices and bills into the accounting system.
- Assist with accounts payable and accounts receivable administrative tasks.
- Enter tenant payments and other routine financial information.
- Prepare and maintain basic spreadsheets and reports.
- Assist with bank deposits and check preparation as directed.
- Reconcile simple records and identify discrepancies for review.
- Maintain organized bookkeeping and financial files.
- Assist the accounting team with other routine administrative bookkeeping tasks.
- Handle confidential financial information with discretion. Property Management Support
- Provide administrative support for property management projects and special assignments. Qualifications
- Previous experience in reception, administrative support, office management, bookkeeping, or a related position preferred.
- Strong customer service and communication skills.
- Professional and friendly demeanor.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Basic understanding of bookkeeping and accounting principles.
- Comfortable using Microsoft Office, including Word and Excel.
- Ability to learn accounting and property management software.
- Ability to maintain confidentiality.
- Ability to work independently while also being a team player.
- Reliable attendance and a strong work ethic. Preferred Experience Experience in any of the following is a plus:
- Commercial real estate
- Property management
- Accounts payable or accounts receivable
- Yardi
- Tenant/customer service
- Office administration Schedule This is a part-time position with daytime, Monday-Friday hours , designed to provide a consistent schedule during traditional school hours.
Typical schedule:
9:00 AM-2:00 PM, Monday through Friday. The schedule may have some flexibility for the right candidate.Compensation Hourly Rate:
$20- 25 per hour, commensurate with experience.
