Responsibilities:
- Welcome visitors, clients, and staff with a detail-oriented and friendly approach while maintaining an organized front desk presence.
- Manage incoming calls through a multi-line phone system, direct inquiries to the appropriate contacts, and take accurate messages when needed.
- Provide day-to-day administrative assistance, including scheduling support, basic office coordination, and general clerical tasks.
- Monitor the reception area to ensure guests are assisted promptly and the front office reflects an experienced and detail-oriented image.
- Respond to inbound questions from callers and visitors, offering helpful information and escalating matters when appropriate.
- Support concierge-style services by assisting with visitor needs, check-ins, and general office guidance.
- Maintain records, logs, and other front desk documentation with accuracy and attention to detail. Requirements
- Prior experience in a receptionist, front desk, customer support, or administrative support role.
- Comfortable handling a multi-line phone system and managing a steady volume of inbound calls.
- Strong interpersonal skills with the ability to interact professionally with visitors, clients, and internal teams.
- Well-presented, dependable, and capable of representing the organization in a positive manner.
- Ability to stay organized, manage competing tasks, and remain composed in a busy office environment.
- Solid verbal and written communication skills with a customer-focused mindset.
- Basic administrative and clerical skills, including accurate message taking and record maintenance.
