Job Description

The Receptionist serves as the first point of contact for visitors and callers, delivering exceptional customer service while providing administrative support to ensure smooth day-to-day office operations. This non-exempt, hourly role reports directly to the Senior Manager of Human Resources. This is a part-time position, scheduled from 8:30 AM to 2:00 PM, Monday through Friday, with occasional requests to arrive early for customer visits or stay later to support staff.
Key Duties and Responsibilities:
Greet and welcome visitors in a warm, professional manner. Answer, screen, and route incoming phone calls. Maintain a clean and organized reception area. Order and stock kitchen supplies, snacks, and beverages weekly. Stock supply closets and order office supplies as needed. Manage visitor check-in processes and support HR as a backup when additional assistance is needed. Handle incoming and outgoing mail, packages, and deliveries. Assist with scheduling meetings and coordinating calendars for employees and managers. Update and maintain office directories, contact lists, and organizational charts. Support administrative tasks such as data entry, filing, scanning, and document preparation. Assist with onboarding tasks such as sending welcome communications, setting up workspaces, and creating employee files. Handle catering for on-site interview lunches and company events. Coordinate weekly "Bagel Friday" pickup. Uphold security procedures by monitoring access and issuing visitor badges. Support Culture Club initiatives, events, and programs aimed at enhancing employee engagement and retention. Assist in scheduling wellness events, like Flu Shot Clinics and CPR Training. Assist with ad hoc HR projects and administrative tasks as needed.
Qualifications and Skills:
High school diploma or equivalent; associate degree preferred. 1-2 years of experience in a receptionist or administrative support role. Strong verbal and written communication skills. Professional, friendly, and polished customer service demeanor. Proficient in MS Office (Outlook, Word, Excel) and office phone systems. Strong organizational skills with the ability to multitask and prioritize effectively. High level of discretion, professionalism, and attention to detail.
