This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth office workflows. The ideal candidate will demonstrate excellent communication skills, organizational prowess, and a proactive attitude. This position offers an opportunity to be the welcoming face of our organization while contributing to efficient office management and client support. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and courteously Handle incoming correspondence, including emails, mail, and deliveries Maintain appointment calendars and coordinate scheduling for staff or departments Perform data entry, filing, and document proofreading with high accuracy Support office management tasks such as supply inventory and record keeping Assist with basic bookkeeping tasks using QuickBooks or similar software Provide customer support by addressing inquiries promptly and professionally Manage front desk operations efficiently, including maintaining cleanliness and organization Utilize Microsoft Office and Google Workspace tools for administrative tasks Demonstrate strong phone etiquette and professional communication at all times Skills Proven experience in office management or administrative support roles Proficiency with computer literacy, including Microsoft Office Suite and Google Workspace Familiarity with multi-line phone systems and front desk procedures Bilingual abilities are preferred to serve diverse client bases effectively Strong organizational skills with the ability to prioritize tasks efficiently Excellent typing speed and data entry accuracy Knowledge of clerical practices such as filing, proofreading, and calendar management Experience with QuickBooks for bookkeeping purposes is advantageous Exceptional customer service skills combined with professional phone etiquette Ability to handle confidential information discreetly and responsibly Previous experience as a medical or dental receptionist is a plus but not required
