Job Description
Our client is seeking an Administrative Assistant/Receptionist to support their mission driven organization in Portland, Maine that partners closely with the Department of Health and Human Services to provide critical community support services. This is an open ended temporary opportunity ideal for someone who enjoys being the backbone of a busy office, can manage multiple priorities, and is comfortable stepping into reception coverage as needed.
Rate:
$18/hrHours:
M-F, 8:30 am - 4:30 (8am - 4pm for training)Location:
Portland, ME (fully onsite w/ parking)Responsibilities:
- Schedule appointments and maintain calendars for staff and clients
- Prepare, organize, and process paperwork and documentation
- Update and maintain spreadsheets and internal records with accuracy
- Provide back up support to the front desk and cover reception one day per week
- Answer phones, greet visitors, and assist with general administrative tasks
- Help keep the office organized and running smoothly in a fast paced environment
Qualifications:
- Strong organizational skills and attention to detail
- Comfortable managing schedules, records, and administrative workflows
- Ability to pivot quickly and handle changing priorities throughout the day
- Professional and friendly communication skills, both in person and over the phone
- Proficiency with Microsoft Office preferred
