Job Description
Overview We are a boutique law firm focusing on Elder Law. Join our dynamic team as a Receptionist and Administrative Assistant. In this vital role, you will be the first point of contact for visitors and clients, ensuring a welcoming environment while efficiently managing administrative tasks. Your proactive approach and excellent communication abilities will help keep our operations running smoothly and foster positive relationships with clients and team members alike. Responsibilities Greet visitors warmly and professionally, managing front desk operations with enthusiasm and courtesy Answer multi-line phone systems promptly, directing calls accurately and providing exceptional customer support Manage calendar schedules, appointments, and prepare meeting files with precision Perform data entry, filing, and document proofreading to maintain accurate records and ensure seamless information flow Handle incoming and outgoing correspondence, including emails, mailings, and client communication with attention to detail Organize and track MaineCare submissions Cross train to provide overflow support to paralegal. Experience Proven clerical experience in an office environment with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with legal software such as LEAP or CLIO would be helpful but not required. Excellent computer literacy with the ability to learn new software quickly Prior experience answering phones using multi-line phone systems with professional phone etiquette preferred Demonstrated ability to manage time efficiently while handling multiple tasks simultaneously Experience in a legal office is preferred but willing to train. Experience in a customer service/front desk role that involved client communication and support is also pertinent.
