In this vital role, you will be the first point of contact for patients, managing appointments, handling medical records, and supporting clinical staff with administrative tasks. Your proactive approach and attention to detail will ensure smooth clinic operations, accurate documentation, and compliance with healthcare regulations. This position offers an exciting opportunity to contribute to patient care while honing your skills in medical administrative support within a fast-paced optometry practice. Duties Greet patients warmly and provide outstanding customer service at the front desk Schedule appointments efficiently using EMR (Electronic Medical Records) systems Verify patient insurance coverage and process payments accurately, including medical billing and collection procedures Manage patient records with meticulous attention to confidentiality and HIPAA compliance Review clinical documentation for accuracy and completeness, ensuring proper coding with CPT, ICD-9, ICD-10, and ICD-10 codes for billing purposes Assist with health records management, including filing, data entry, and updating patient information Answer phone calls professionally, schedule follow-ups, and handle inquiries with excellent phone etiquette Support clinical staff by preparing care plans and coordinating patient flow throughout the clinic Maintain a clean and organized front desk area while managing multiple computer systems. Perform administrative tasks such as typing reports, processing paperwork, and managing office supplies. Experience Prior clinic or medical office experience is highly preferred, especially within optometry or ophthalmology settings Demonstrated proficiency in EMR/EHR Strong knowledge of health insurance processes including Medicare and Medicaid billing procedures Familiarity with medical coding (CPT, ICD-9/10) and documentation review for accurate billing and compliance Excellent customer service skills with the ability to communicate effectively in bilingual environments is a plus Experience handling medical records management while adhering to clinical confidentiality policies Proven ability to multitask in a busy office environment with clerical experience involving filing, scheduling, and phone communication Join us in delivering compassionate care through efficient administrative support!
