You'll set the tone for every client interaction, ensuring that all visitors and callers feel valued, respected, and supported. This role combines front desk management, client service, and administrative responsibilities, all of which contribute to the smooth day-to-day operations of our office. Core Responsibilities Client & Guest Relations Answer, screen, and direct incoming calls promptly and professionally. Manage voicemail inbox, take accurate messages, and enter details into the CRM/CMS system. Serve as a helpful gatekeeper by addressing routine inquiries and providing information when possible. Greet visitors warmly, assist with check-in, and ensure they are comfortable (offer beverages, escort to meetings, etc.). Facilities & Office Support Maintain conference room schedule and ensure meeting spaces are clean and prepared. Manage inventory and ordering of office supplies, snacks, and beverages. Oversee the appearance and upkeep of shared areas (lobby, coffee area, conference rooms). Monitor and manage postage/mailing machine funds. Administrative & Mail Management Receive, sort, and distribute incoming mail and packages. Prepare and log outgoing mail, ensuring accuracy and proper postage. Support team members with administrative tasks as needed. Skills & Attributes Strong front desk management and multitasking abilities. Excellent verbal and written communication skills. Professional, welcoming demeanor with a client-first mindset. Strong organizational and time management skills. Comfortable with appointment scheduling, client record maintenance, and administrative support. Qualifications High school diploma or equivalent required; additional office administration training is a plus. Prior experience in reception or customer service preferred. Proficiency with office software and telephone systems. Ability to stay calm, composed, and professional in a fast-paced environment.
