Job Description

Forrest Tax & Accounting Services is seeking a dependable, organized, and customer-focused Front Desk Receptionist to serve as the first point of contact for our clients. This position is responsible for managing the front office, answering phones, scheduling appointments, processing payments, organizing documents, and providing administrative support to our accounting team. The ideal candidate enjoys working with people, is highly organized, and thrives in a fast-paced professional environment. No accounting experience is required. We will train the right candidate. ResponsibilitiesFront Desk Operations Welcome clients and visitors professionally Answer incoming phone calls and direct them appropriately Take accurate messages and document communications in Canopy Check clients in for appointments Maintain a clean, organized, and professional reception area Assist clients with general office questions Appointment Management Schedule, confirm, reschedule, and cancel appointments Send appointment reminders Update appointment notes and client information Notify staff of client arrivals and schedule changes Client Administration Scan and upload client documents into Canopy Update client contact information Assist clients with the Canopy Client Portal Help clients with e-signatures and basic portal access Verify identification when required Explain general office policies and procedures Payment Processing Collect cash, check, credit card, and ACH payments Issue receipts Record payments accurately Balance daily payment activity Prepare daily bank deposits Maintain confidentiality and safeguard client information File & Document Management Pull paper files for scheduled appointments Refile client records Maintain organized filing systems Prepare files for storage or shredding according to firm policy Protect confidential information at all times Mail & Office Support Receive and sort incoming mail Route time-sensitive correspondence Prepare outgoing mail Assist with birthday cards, holiday cards, and other office mailings Monitor front-office supplies and notify management when replenishment is needed Office Appearance Keep the reception area neat and welcoming Ensure client-facing areas remain organized Monitor restrooms and notify management of cleaning or supply needs Help maintain a professional office environment Qualifications Excellent customer service and communication skills Strong organizational and time management skills Professional appearance and attitude Comfortable using computers and learning new software Experience with Microsoft Office and basic office technology Ability to maintain confidentiality Ability to multitask in a fast-paced office Previous receptionist, administrative assistant, customer service, banking, medical office, or retail experience is preferred but not required.
