Job Overview We are seeking a dynamic and organized Front Desk Receptionist and Office Coordinator to be the welcoming face and efficient hub of our office. In this vital role, you will manage front desk operations, coordinate administrative tasks, and ensure smooth daily functions across the organization. Your energetic approach and exceptional organizational skills will help foster a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting a vibrant professional team. Duties Greet visitors, clients, and vendors warmly, ensuring a professional first impression at all times Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and promptly Handle incoming correspondence, emails, and inquiries with professionalism and efficiency Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office, looking up patients insurance Support calendar management and scheduling for team meetings, appointments, and events Assist with data entry, bookkeeping using QuickBooks, and basic office bookkeeping tasks Coordinate office supplies procurement, inventory management, and general administrative support to ensure operational excellence Requirements Proven experience in office management or administrative roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with keen attention to detail in proofreading, typing, and document preparation Exceptional customer service skills with a friendly demeanor and professional phone etiquette Ability to handle multiple tasks efficiently while managing time effectively in a fast-paced environment Personal assistant experience or prior roles involving calendar management and client communication is a plus Join us to be part of a lively team where your organizational talents will shine!
