Duties Greet visitors warmly and direct them appropriately, ensuring a positive first impression Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette Handle incoming calls, screen inquiries, and transfer calls efficiently using office management software Perform data entry, filing, and maintain organized records using Microsoft Office and Google Workspace tools Support administrative tasks such as calendar management, appointment scheduling, and proofreading documents Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed Provide customer support by addressing inquiries promptly and courteously, ensuring high levels of satisfaction Maintain the front desk area in a clean, organized manner, fostering a welcoming environment Support clerical functions including copying, scanning, and managing office supplies Qualifications Proven experience in office management or administrative roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Prior experience with multi-line phone systems and phone etiquette is highly desirable Bilingual abilities are a plus to serve diverse client needs effectively Strong organizational skills with keen attention to detail for proofreading and data entry tasks Demonstrated ability to manage time effectively in a fast-paced environment Previous experience as a receptionist in medical or dental offices is advantageous but not required Personal assistant or medical receptionist experience can be beneficial for understanding specialized workflows Join us to be part of a vibrant team where your organizational talents and customer service skills will shine!
