Receptionist / Administrative Assistant Trainee Law Offices of Barton Morris - Troy, MI Full-Time | In-Office | $40,000/year About the Position The Law Offices of Barton Morris is seeking a reliable, organized, and professional Receptionist / Administrative Assistant Trainee to join our team. This position is designed as a growth opportunity . The person hired will begin by learning our firm through the receptionist role, including answering phones, assisting clients, managing the front desk, processing documents, and supporting day-to-day office operations. As they demonstrate proficiency in these responsibilities, they will receive additional training with the goal of progressing into an Administrative Assistant role supporting client matters and our legal team . Responsibilities Receptionist & Client Support Answer and route incoming phone calls professionally Greet clients, visitors, and vendors Receive, sort, and distribute mail and packages Coordinate outgoing mail and deliveries Maintain an organized and professional reception and office environment Assist with office supplies and general office needs Communicate with clients by phone, email, and text Conduct scheduled client check-in calls and document communications in Clio Administrative & Legal Support Prepare and send Retainer Fee Agreements (RFAs) for signature and track completion Scan, upload, organize, and properly name documents in client files Assist with collecting documents and information from clients Track outstanding client documents and follow up as needed Record client communications and matter updates accurately in Clio Process client payments and maintain accurate records Assist attorneys, paralegals, and administrative staff with additional tasks as assigned Training & Growth into Administrative Assistant Once the employee demonstrates consistency and proficiency in the receptionist responsibilities, training will expand to include: Assisting with client onboarding Managing assigned administrative tasks within client matters Tracking matter stages, deadlines, and outstanding requirements Requesting and collecting court and government records Following up with clients regarding outstanding items Preparing routine correspondence and documents Maintaining accurate matter notes, tasks, and documentation in Clio Supporting attorneys and paralegals with practice-area-specific processes Taking greater ownership of client matters from an administrative perspective Qualifications High school diploma or equivalent required; associate degree or college coursework preferred Previous receptionist, administrative, office, or customer service experience preferred Legal experience is helpful but not required Strong verbal and written communication skills Professional and comfortable communicating with clients by phone Highly organized with strong attention to detail Able to follow established processes and checklists Comfortable learning new technology and software Able to manage multiple responsibilities and follow through without repeated reminders Reliable and punctual Able to maintain confidentiality when handling sensitive client information Willingness and ability to learn new responsibilities and grow within the firm

The right candidate will be eager to learn how a law firm operates, take ownership of their responsibilities, communicate professionally with clients, and steadily develop the skills necessary to take on an Administrative Assistant position. Success in the initial role will be measured by accuracy, responsiveness, organization, follow-through, client communication, and the ability to complete assigned responsibilities on time. These measures are consistent with the current receptionist position's focus on timely RFA processing, document collection, client check-ins, escalation of client concerns, and reliable office operations.
