Job Description
Job Summary We are seeking an energetic and detail-oriented Front Desk Receptionist and Administrative Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, ensuring a warm, professional, and efficient experience. You will manage a variety of administrative tasks, support office operations, and provide exceptional customer service to both internal staff and external clients. This position offers an excellent opportunity for someone with strong organizational skills, office management experience, and a passion for delivering outstanding support in a fast-paced environment. This is a part time position Monday-Friday 9am-2pm. Responsibilities Greet visitors warmly and professionally, directing them appropriately while maintaining a welcoming atmosphere Operate multi-line phone systems efficiently, answering inquiries and routing calls with proper phone etiquette Manage scheduling, calendar management, and coordinate meetings using tools like Google Workspace Handle data entry, filing, photocopying, and helping maintain organized records Support office management tasks including supply inventory, mail distribution, and basic bookkeeping Provide support by addressing inquiries promptly and professionally via phone or email Assist with employee onboarding, orientation coordination, trainings, and personnel file management Coordinate and track completion of required trainings and certifications Support recruitment efforts by scheduling interviews and communicating with candidates Monitor PTO requests, and assist with timekeeping/payroll support Skills Proven experience in front desk operations and office administration with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Effective communication skills with a focus on phone etiquette Ability to multitask efficiently while managing time effectively in a busy environment Strong clerical skills including filing, proofreading, and document management Demonstrated ability to provide exceptional customer service with professionalism and courtesy Executive assistant experience or previous roles involving calendar management and administrative support are advantageous
