Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the welcoming face of our organization, managing front desk operations and providing essential administrative support to ensure smooth daily functions. Responsibilities Greet visitors and clients warmly, ensuring a professional and friendly first impression Manage multi-line phone systems, directing calls efficiently and courteously Handle incoming correspondence, including emails, mail, and packages with accuracy Maintain organized office records using spreadsheets and productivity software Schedule appointments, manage calendars, and coordinate meetings for staff and executives Perform data entry tasks with high accuracy using computer literacy skills and proofreading techniques Occasionally support bookkeeping activities using QuickBooks Assist with general office management duties such as ordering supplies and maintaining equipment Provide exceptional customer service by responding promptly to inquiries and supporting client communication efforts Requirements Proven clerical experience with strong office management skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and word processing tools Experience with multi-line phone systems and phone etiquette standards Demonstrated computer skills including data entry, proofreading, and technical proficiency in productivity software Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong customer service orientation with excellent communication skills for front desk interactions and client support Previous experience in administrative or office support roles is preferred, including personal assistant or receptionist experience Ability to manage calendar schedules, perform bookkeeping tasks using QuickBooks, and handle confidential information discreetly High school diploma or equivalent required; additional certifications in office administration or related fields are a plus Join us to be part of an energetic team dedicated to delivering outstanding service while advancing your administrative career!
