Job Description
Description We are looking for a Front Desk Coordinator to serve as the first point of contact for visitors and callers in Saint Paul, Minnesota. This Long-term Contract position is ideal for someone with at least 2 years of experience who can create a welcoming environment while keeping front office operations organized and efficient. The role requires strong communication skills, sound judgment, and the ability to manage competing priorities in a detail-focused setting.
Responsibilities:
- Welcome guests, employees, and vendors with a warm and friendly approach while maintaining an orderly front desk presence.
- Manage a multi-line phone system by directing incoming calls accurately, taking clear messages, and responding to general inquiries promptly.
- Coordinate day-to-day reception activities, including mail distribution, package handling, and support for routine office communications.
- Maintain calendars for shared spaces, meetings, or appointments to help ensure smooth scheduling and efficient use of time.
- Provide concierge-style assistance by guiding visitors, answering location or service-related questions, and helping resolve basic requests.
- Prepare, format, and update documents, spreadsheets, and correspondence using Microsoft Office and Microsoft 365 applications.
- Monitor front office workflows and escalate issues when needed to support uninterrupted daily operations. Requirements
- At least 2 years of experience in a front desk, receptionist, or customer-facing administrative role.
- Demonstrated ability to operate a multi-line or switchboard phone system in a busy office environment.
- Strong verbal and written communication skills with a detail-oriented and service-oriented demeanor.
- Experience handling inbound calls, visitor check-ins, and general reception support with accuracy and efficiency.
- Familiarity with daily mail processing, calendar coordination, and routine office administrative tasks.
- Proficiency with Microsoft Office and Microsoft 365, including common business applications used for communication and scheduling.
- Ability to stay organized, manage multiple priorities, and maintain confidentiality in a detail-oriented setting.
