Job Description

We are looking for a Front Desk Coordinator to support daily reception operations for a non-profit organization in Saint Paul, Minnesota. This is a part time position: M/W/F from 12:30 - 5:00 pm. This is also a Long-term Contract position is ideal for someone who enjoys creating a welcoming experience for visitors while keeping front office activities organized and running smoothly. The person in this role will serve as a key point of contact for guests, callers, and incoming correspondence, while providing dependable administrative support across the office.
Responsibilities:
  • Welcome visitors, assist with check-in needs, and provide a welcoming first point of contact for the organization.
  • Manage a multi-line phone system by answering incoming calls, directing inquiries to the appropriate staff, and taking accurate messages when needed.
  • Coordinate front desk coverage and respond to walk-in questions with courtesy, efficiency, and sound judgment.
  • Sort, distribute, and route incoming mail and deliveries to the correct departments or team members.
  • Maintain organized paper filing systems and ensure office records are kept accurate and easy to access.
  • Support general concierge-style assistance by helping guests, staff, and vendors navigate front office processes.
  • Use Microsoft 365 tools to handle routine administrative tasks, communication, and basic documentation.
  • Monitor day-to-day reception workflows and help address procedural updates or office process changes as assigned
