Job Summary We are seeking an energetic and detail-oriented Front Desk Associate to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Your enthusiasm and organizational skills will help create a positive environment for visitors, clients, and team members alike. Duties Greet visitors and clients warmly, ensuring a positive first impression of the organization Answer multi-line phone systems promptly and professionally, directing calls efficiently Manage appointment scheduling and calendar management using tools like Google Workspace or Microsoft Office Perform data entry, filing, and document proofreading to maintain accurate records Handle incoming and outgoing correspondence, including emails and mail distribution Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and organizing files Assist with clerical duties like typing reports, maintaining office cleanliness, and supporting administrative projects Provide customer support by addressing inquiries courteously and efficiently Maintain a professional appearance and uphold phone etiquette at all times Experience Prior office experience or administrative support roles preferred, especially in medical or dental reception settings Proven ability to manage multi-line phone systems and handle high-volume customer interactions Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Bilingual skills are highly desirable to serve diverse client needs effectively Excellent organizational skills with attention to detail in data entry, proofreading, and filing tasks Demonstrated ability to prioritize tasks efficiently using time management techniques Previous experience as a receptionist or personal assistant is advantageous but not required; training will be provided for specific software or procedures Must be able to work weekends.
