Job Description
Job Overview Part time 5 days a week, Monday through Friday, starting at 12pm to 1 pm depending on the need of the day, till close, typically 5pm if all tasks completed for the day or later if clinician is still needing that. We are seeking a Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will possess excellent communication skills, be highly organized, and thrive in a fast-paced environment. Responsibilities Greet visitors, patients, and vendors warmly and professionally, creating a positive first impression. Manage multi-line phone systems, screen calls, and direct inquiries efficiently. Handle appointment scheduling, calendar management Maintain accurate data entry records using Electronic Medical Records apps, Microsoft Office, Internet searching, and other office software. Perform clerical duties such as filing, proofreading documents, and managing correspondence. Support office management tasks including tracking inventory, mail distribution, data entry, etc. Ensure the front desk area and office remains tidy and organized at all times while adhering to office protocols for confidentiality and security. Assist clinicians with any lab/image/etc ordering, Release of Records processing, communication with patients/other clinics, labs, image centers, etc Experience Previous office experience or clerical experience desired demonstrating strong organizational skills. Proven customer service background with excellent phone etiquette and interpersonal skills. Familiarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping. Proficiency in Electronic Medical System use, Microsoft Office Suite (Word, Excel, Outlook) and Internet applications desired. Experience in medical or dental reception or as a personal assistant is a plus but not required. Strong time management skills with the ability to prioritize tasks efficiently in a dynamic environment.
