Job Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front office operations, serve as the first point of contact for visitors and clients, and ensure smooth administrative workflows. Duties Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued and comfortable. Answer multi-line phone systems promptly, directing calls efficiently and courteously. Manage appointment scheduling and calendar coordination using productivity software. Handle data entry tasks accurately within spreadsheets and client management systems such as QuickBooks. Maintain organized filing systems, including document management and record keeping. Assist with clerical tasks such as proofreading, word processing, and preparing correspondence. Support office management activities by coordinating supplies, managing incoming mail, and performing light administrative duties. Skills Proven experience in office management or administrative support roles with strong organizational skills. Excellent customer service skills with professional phone etiquette and client communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with data entry and spreadsheet management skills. Technical proficiency with multi-line phone systems, QuickBooks, and general computer literacy. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Previous experience in front desk or clerical roles that involved filing, proofreading, calendar management, and personal assistant responsibilities.
