We are a small, exclusively equine veterinary clinic and surgery center focusing on orthopedics & sports medicine. We foster a team-oriented environment with a strong emphasis on delivering excellent patient care and customer service. Candidates need to be personable, enthusiastic, self-motivated, and eager to learn. The veterinary receptionist is the front-line representative of the clinic, initiating the process of establishing relationships with our clients, both in person and over the phone. As a receptionist, you will be the first point of contact for the clinic. Ultimately, a receptionist's duties and responsibilities are to provide excellent customer service to our clients and execute all administrative tasks to the highest quality standards. - Provides excellent and expeditious client experience; greets clients, responds to questions; processes incoming and outgoing patients, and handles payments
- Monitors client waiting area to ensure cleanliness
- Documents and maintains client information, service data and other pertinent information within business operations software
- Answers telephones and emails, correspondence, updates clients financial records and processes clients invoices
- Perform a variety of clerical and customer service work in providing support to the hospital, and to clients during often high stress situations
- Identify potential emergencies in person, and over the phone, and schedule those appointments appropriately
- Perform cashier duties; process refunds, returns and credits as needed
- Responds to inquiries about the range of services the practice provides and the species it treats; refer to appropriate department/staff member as needed
- Input data to practice management software to check patients in; make simple postings to client records
- Receive and distribute incoming mail; and process outgoing mail (including lab shipments)
- Handles incoming and outgoing e-mail
- Coordinate and schedule appointments; provide clients with appointment reminders and any special instructions
- Use Windows based computer systems, word processing, email, web search and other skills needed to effectively use software
